About the Job:

Kent is looking for Project Cost Controller on a permanent to be based in Mumbai.

Skills and Responsibilities

Project Coordination

  • Project creation in Oracle and project status changes
  • Collaborate with project managers and stakeholders to gather necessary data for project establishment, including project scope, budgets, timelines, and resource requirements.
  • Setup and configure proposal and project booking codes within Kent’s Oracle system, and maintaining resource assignment with the proposal development team ensuring accurate and complete project information.
  • Assist with development of project objectives by reviewing project proposals (or Cost Time Resource CTR’s sheets) and confirming the project plans with technical leads.
  • Establish and ongoing management of the data storage of all project documentation including purchase orders, invoices and other financial documentation.
  • Input project data into Oracle, including Oracle budget, Oracle forecast, Project Codes, Work Breakdown Structures (WBS), financial details, and resource allocations (Oracle Contract Management).
  • Troubleshoot and resolve issues related to project establishment in Oracle, coordinating with IT support and Oracle administrators as needed.
  • Project closeout including capture of lessons learned and appropriate archiving activities.
  • Comply with Kent business and legal policies including the Integrated Management System and Quality Processes for Project Execution.
  • Maintain PO register

Client invoicing

  • Create and manage contract development in the Oracle system to ensure accurate invoicing.
  • Preparation of Client required invoice supporting documentation.
  • Preparation & submission of Invoices on client (including portals).
  • Timely invoicing to minimize DSO timeframe.
  • Review and validate invoices, purchase orders, and other financial documents for accuracy and compliance.
  • Provide status updates on invoicing progress

Ad-Hoc Duties

  • Liaise with the Finance team to ensure project team’s time writing is accurate. Provide adjustments to time writing when required.
  • Integrate contractors’ cost data into the project cost management systems and identify discrepancies.
  • Assist with changes in Oracle Budget, Oracle Forecast and Oracle Contract as required
  • PR creation in Oracle
  • Receipting of goods/service against PRs raised
  • Assist Project team addressing Client queries.
  • Co-ordinate all parties involved, including engineering teams, other business units and sub-consultants
  • Cultivate good client relationships and manage client expectations.

Assist with as-building deliverables In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee's skills, capabilities, and role within the organization. The intent of this provision is to allow for flexibility and adaptability in meeting the dynamic needs of the organization, ensuring that operational requirements can be met efficiently. All such tasks will be assigned considering the employee's current workload and with respect to their professional development.

Your knowledge/skills, education, and experience:

  • Recognised degree in Accounting, Business or similar field
  • Analytical Skills - spotting potential problems and finding appropriate solutions
  • Time Coordination – the ability to adhere to tight deadlines and prioritize tasks
  • Interpersonal abilities – the ability to work with and help to coordinate diverse teams of people
  • Flexibility – have the flexibility to adapt to new systems and processes, developing ways to work around any issues.
  • Intermediate level of understanding of Microsoft Word and Excel.
  • Project Accounting/Cost Control experience.
  • PowerBI software experience.
  • Experience with ERP software (Oracle Fusion would be an advantage)

Software Tools

  • Experience with ERP software (Oracle Fusion would be an advantage)

  • Candidate should maintain the HSSEQ management system, and the tools required to implement it
