About this role:

The Senior Project & Business Administrator will play a pivotal role in supporting the Business & Project Manager by managing key administrative and logistical tasks across project operations. With a strong focus on organization, discretion and efficiency, you will ensure that all project operations run smoothly, contributing to the overall success of the team and project delivery.


Responsibilities:

• Process expense reports, invoices, and other financial documentation for the Business & Project Manager
• Prepare and organise meeting agendas, and documents for upcoming meetings.
• Ensure proper documentation of meetings, action items, and follow-ups.
• Organise internal and external meetings, including logistics, venue arrangements, and preparation of materials.
• Maintain an organised system for tracking important documents, contracts, and reports for the Business & Project Manager
• Handle confidential and sensitive information with discretion and professionalism.
• Coordinate the mobilisation of personnel and equipment to project sites, ensuring all required documentation (e.g., safety inductions, equipment certifications) is in place.
• Ensure that all team members are onboarded properly with the necessary resources, including IT, site access, PPE, and other required materials, in liaison with HR.
• Manage and process timesheets and leave for all project personnel, ensuring accuracy and timely submission.
• Liaise with payroll departments to ensure that employees and subcontractors are paid correctly and on schedule.
• Administer of duty roster


About You:

Our ideal candidate will have a Certificate III or IV in Project Administration, Business or a related field. You will have at least five years experience in a senior administrative role within the resources industry. We value candidates with a customer-focused, team-oriented mindset and a strong sense of accountability and drive for results. A positive, energetic attitude and a willingness to embrace new challenges and adapt to changing processes, technology and information will be key to succeeding in this role
