About the job:

Kent is looking for a Senior Document Controller to be based in Houston, TX and support regional project site(s).

Skills and Responsibilities:

Responsibilities:

  • Assist and contribute to the project to meet its safety targets and advise on safety improvements.
  • Assist the managers and be a team player, collaborate, and add value to the assigned project.
  • Coordinate/Communicate with all disciplines, Contractor, and Client.
  • Assist and support managers and directors to manage all aspects of projects from early stage to implementation and handover.
  • As applicable review Contractor’s deliverables as required and ensure all Contractor’s activities performed meets contractual obligations, quality, and schedule requirements.
  • Liaising with other engineers/personnels to ensure updates to relevant standards are maintained and disseminated to the team.
  • Control all Incoming and Outgoing Drawings / Documents Ensure timely issuance & distribution of all the Drawings / Documents with correct revisions to all parties as detailed in the distribution matrix contained in project procedures.
  • Maintain Device Master Record files (product drawings, process sheets, inspection sheets).
  • Coordinate product change order documentation related activities which include the processing of text-based changes.
  • Responsible for maintaining data entry into JDE and other quality systems.
  • Responsible for coordinating product complaint handling, where applicable.
  • Convert hardcopy quality records to controlled electronic files through a defined imaging process which includes preparation, processing, and verification of those records.
  • Assist line manager in maintaining and improving quality standards and processes within the department training employees in appropriate procedures and work instructions.
  • Handling day-to-day documents and drawings, including upload and download from project information exchange platform.
  • Managing and updating incoming and outgoing log of document, drawings, design information.
  • Formatting documentation prepared by all personnel under online specification preparation software.
  • Ensure that circulation durations for distribution list and cycle are tracked and any deviations (delays) are reported to line manager, as these may impact the project delivery schedule.
  • Provide line manager weekly report on late documents and monitor the workflow to identify delivery issues.
  • Managing own budgets and project resources in conjunction with the manager.
  • Experienced with computer Applications such as Advance Microsoft Office Applications (Word, PowerPoint, Outlook), Advance Excel, ACONEX, FTP site & SharePoint.

In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee's skills, capabilities, and role within the organization. The intent of this provision is to allow for flexibility and adaptability in meeting the dynamic needs of the organization, ensuring that operational requirements can be met efficiently. All such tasks will be assigned considering the employee's current workload and with respect to their professional development.

Your knowledge/skills, education, and experience:

Knowledge/ Qualification/ Training/ Certification:

  • Any bachelor’s degree.
  • Minimum 10 years of experience in EDMS, 5 years (preferred) in GCC region.
  • Work in office and Site based environments.
  • Capable of using the appropriate software.
  • Good interpersonal and analytical attributes.
  • Able to effectively communicate technical issues to peers and line manager (written and verbal).
  • Strong experience with computer Applications such as Advance Microsoft Office Applications (Word, PowerPoint, Outlook), Advance Excel, ACONEX, FTP site & SharePoint.
  • Strong experience in Document Management Systems (DMS).
  • Strong familiarity with document control procedures and processes.
  • Well-versed in industry-specific standards and codes related to document control, including knowledge of ISO standards, API guidelines, and other relevant regulations.
  • Strong attention to detail for accuracy in document numbering, version control, and metadata management.
  • Effective leadership skills for managing teams.
  • Effective communication skills to collaborate with project teams, engineers, and other stakeholders.
  • Experienced with Project Documentation, including technical drawings, specifications, and reports.
  • Understanding the contractual obligations and purpose of different documents.
  • Minimum 5 years’ relevant experience.

Communication:

  • Excellent command of the English language in both oral and written communication and skills.
