About the Job:
Kent is looking for “Executive Office Assistant” for Mumbai office. The candidate should be familiar with Management office and administrative support to Management executives and engineering managers. This role involves handling various tasks to ensure smooth office operations and the efficient management of the executive’s schedule and office environment. This role will help in engineering / project activities as well in coordination
Skills and Responsibilities:
Administrative Support:
- Manage the executive’s calendar by scheduling and coordinating meetings, appointments, and travel.
- Prepare and organize materials for meetings, conferences, and presentations.
- Handle incoming communications, such as emails and phone calls, ensuring appropriate
- responses and follow-ups.
- Organize and maintain files, records, and office supplies.
Correspondence and Communication:
- Draft, proofread, and edit correspondence, reports, and documents for the executive.
- Act as the liaison between the executive and internal/external stakeholders, clients, and visitors.
- Ensure timely communication and proper dissemination of information to relevant parties.
Meeting and Event Coordination:
- Coordinate logistics for meetings, events, and conferences, including venue arrangements,
- catering, and transportation.
- Take notes during meetings and prepare minutes for the executive’s review and distribution.
Project Activities:
- Assist in managing project related activities and coordination e: timesheet, trainings etc.
- Follow up on action items from meetings and projects, ensuring proper completion.
Travel Coordination:
- Coordinate with Administration on domestic and international travel, including flights,
- accommodations, and itineraries.
- Prepare travel expense reports and ensure proper documentation of receipts and costs.
Office Management:
- Maintain an organized office environment, ensuring all necessary supplies are stocked and
- office equipment is functioning.
- Manage and prioritize tasks efficiently in a fast-paced environment.
Confidentiality and Discretion:
- Handle sensitive information with a high degree of professionalism, confidentiality, and
- discretion.
- Manage confidential files and communications on behalf of the executive.
In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee's skills, capabilities, and role within the organization. The intent of this provision is to allow for flexibility and adaptability in meeting the dynamic needs of the organization, ensuring that operational requirements can be met efficiently. All such tasks will be assigned considering the employee's current workload and with respect to their professional development.
Knowledge/ Qualification/ Training/ Certification:
- Bachelor Bachelor’s degree or equivalent experience preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of office management software is a plus.
Communication:
- Excellent verbal and written communication skills, with an ability to interact with senior leadership and clients.
