About the job:
Here at Kent our newly formed People and Culture Centre of Excellence team is expanding. As we look to solidify the use of our Oracle Fusion system, we are undertaking a review of our current people processes and need team members to join us to support new ways of working. Our Reward and People Systems Advisor will play a crucial role in supporting the improvement of people services at Kent. Working in an agile way within our Centre of Excellence team, we are looking for people with experience in Human Resources who can apply their knowledge and passion for business process improvement across a spectrum of our improvement initiatives. As a digital native you will bring technical capability, courage and curiosity to a wide range of functional challenges in our People and Culture Centre of Excellence team whilst continuing to build your own capability to harness our Oracle Fusion system. You will work closely with the CofE team and support process reviews and evaluation of current business processes to drive continuous improvement. Getting the opportunity to have an impact across Employee Reward, Recognition, data and systems and the evolution of our technology journey for People and Culture you will be an essential ingredient to our growing team. We need your energy to help us make sure that our P&C team are easy to do business with. Your responsibilities:
- Reward Supports the Reward team with participation in their annual processes of merit awards
- Works with Reward and the PS team to develop meaningful Reward reporting capability that provides visibility of compensation decisions and moves us towards integrated business reporting.
- Participates in agreed Reward Projects, providing support in project management, task updates and completion and facilitation of input and involvement of wider Global P&C team members.
- Provides meaningful MI on agreed employee engagement and recognition tools, participating with Reward in any analysis and decision-making presentation preparation.
- Data Analytics:Supports routine audits of HCM data to ensure ongoing accuracy and highlights improvement areas.
- Ensure optimal integration of Company’s people systems to optimize reporting across all P&C systems
- Ensure compliance with all data storage, privacy and security requirements as per Kent Group.
- Manages system roles and access, ensuring security, and data integrity across all P&C platforms.
- Collaborate with Centre of Excellence (COE) colleagues to deliver actions within agreed improvement plans that enhance the impact and penetration of our Oracle system.
- Support the team to drive efficiency and standardization of data definitions, working to deliver meaningful MI and reporting through the team, supporting any group initiatives around enterprise level reporting.
- Look to support the evolution of HCM, working in conjunction with the Technology & Transformation (T&T) team and People Systems Lead on effective implementation of new system functionality.
- Participate in the People Systems continuous improvement groups to support the engagement and upskilling of P&C teams Globally with Oracle Fusion capability.
- Process Optimisation: Work under the direction of the COE team to support ongoing improvements in process efficiency and P&C service quality.
- Support the production of documentation including process maps that help us drive out waste and redundancy to improve the speed and quality of Service Experience for our employees.
- Supports the development of collateral that guides and supports our people and managers in the business, pivoting towards self-service in Oracle,
- Participates in planned Lean Interventions that leverage best practice for Kent people services.
- Active participant in further automation workstreams, ensuring technology enabler is fully understood in terms of the impact to PPT (People, Process, Technology changes), supports the project by capturing team and customer voice to facilitate planning and execution of projects.
- Acts as a ‘Tiger team’ member to support regional People and Culture team with enhancements to their existing local processes and documentation needs.
- Knowledge Management Works with regional Helpdesk teams to help moderate and leverage local content to facilitate Global Impact – the role helps Knowledge article creation and considers how to develop further enhancements to ODA (Oracle Digital Assistant) and any further supporting collateral.
- Supports the COE team in developing meaningful content for our Kent Intranet (FRANK), managing the associated Governance and change control processes
- Supports the Governance and Stewardship of the Kent KMS system, ensuring that our People Collateral is compliant with ISO standards and acts as a focal point for document creation and controls.
- Supports document creation, ensuring our policies and processes are both legally compliant and fit for purpose, working with P&C Operations teams and Communications and Advocacy teams to ensure our voice and tone have a Kent vibe and feel to them.
- Communication:Maintains a productive relationship between P&C and T&T departments, fostering effective communication and collaboration.
- Support agreed projects with the translation of P&C requirements into technical specifications for T&T teams and vice versa, ensuring a mutual understanding of objectives and constraints.
- Collaborate with our broader P&C, Finance, and IT Teams and oversee the effective implementation of new initiatives through technology and streamlined HR operations.
- Training and adoption: Supports training collateral production and execution in collaboration with Communications and Advocacy team and People Systems team, and then overseas training programs for HR professionals and end-users to maximize the utilisation of people systems.
- Provide intervention, tracking and support, inc. troubleshooting assistance to users, collaborating with T&T support teams as needed.
Your knowledge/skills, education, and experience:
- Qualification/ Certification: Bachelor’s degree in Human Resources, Information Technology, Business Administration or related field.
- Core Competencies:Demonstrable Reward and HR Systems experience - 3-5 years
- Excellent analytical skills with a track record of utilizing data and data-driven insights to inform decision-making.
- People process knowledge and some expertise of how HR shared services can improve business support.
- Ability to communicate in simple language complex problems and solutions. (simple storytelling for leadership and end-users).
- Experience in supporting facilitation of steering committees, process workshops, project management, and strategic planning.
- Strong communication skills with an excellent command of the English language in both oral and written communication.
- Desired Competencies:Experience of involvement in successful change management projects
- Experience of operating in a team that has set up or improved HR Shared Services, can quickly understand business context of changes to services
- Provision of effective business problem analysis and understands HR systems self-service models, P&C and Recruitment business processes,
- Experience implementing new HR technology and process changes.
- Qualification or training in Six Sigma, or Lean Process Methodology
