About the Job

Kent is seeking an experienced Safety Administrator to join our team and support a project based in Port Arthur, Texas. This role is crucial in ensuring compliance with safety standards and procedures, maintaining accurate safety records, and supporting the HSE team in fostering a culture of health, safety, and environmental excellence across the project site. The role also provides general administrative support to the site management team and ensures smooth day-to-day operations.

Skills and Responsibilities

Responsibilities

• Maintain and update site safety records, including training logs, incident reports, inspections, and compliance documentation.
• Perform data entry and tracking of safety metrics, training, and incident reports.
• Maintain safety documentation (LOTO logs, PTW records, PPE distribution logs).
• Assist with the preparation and distribution of safety reports for internal and external stakeholders.
• Monitor employee training completion, certifications, and compliance with company and client safety requirements.
• Coordinate safety meetings, toolbox talks, and site-wide HSE communications.
• Coordinate orientation for new hires with McDermott; send instructions and deliver PPE to the training center.
• Submit training requests for Day 2 sessions (LOTO, Confined Space, PTW).
• Support incident investigations by compiling data, preparing documentation, and ensuring corrective actions are tracked.
• Organize and maintain safety-related systems for audits, inspections, and compliance reviews.
• Coordinate with Kent corporate functions (HR, Payroll, Safety) to ensure proper routing of requests.
• Act as a point of contact for site employees regarding safety-related questions, reporting, and documentation.
• Assist employees with email account login setup and troubleshooting.
• Coordinate IT support for resolution of laptop issues.
• Provide general office/admin support: filing, scanning, email correspondence, scheduling.
• Perform ad-hoc tasks as assigned by supervisors or management to support the HSE team and overall project objectives.

In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee's skills, capabilities, and role within the organization. The intent of this provision is to allow for flexibility and adaptability in meeting the dynamic needs of the organization, ensuring that operational requirements can be met efficiently. All such tasks will be assigned considering the employee's current workload and with respect to their professional development.

Your Knowledge/Skills, Education, and Experience

Knowledge/Qualifications/Training/Certifications

Education & Experience

• Degree or diploma in Occupational Health & Safety, Business Administration, or related field preferred; equivalent experience considered.
• Minimum 3–5 years of experience in a safety administration, HSE coordinator, or similar role on large-scale or industrial projects.
• Previous administrative experience in industrial/construction environments preferred.

Technical Skills

• Proficiency in Microsoft Office Suite (Excel required) and safety management software.
• Ability to learn and use Kent systems (Oracle, internal reporting tools).
• Knowledge of OSHA standards, incident reporting requirements, and HSE documentation best practices.

Communication

• Excellent command of English, both written and verbal.
• Ability to communicate professionally with employees at all levels, clients, and external partners.

• Ability to handle confidential information with discretion.
