We are looking for a multi-tasking person with excellent communication skills and a positive attitude. Candidates should be able to assist senior personnel in the team and visitors to Kent by handling office tasks for the Low Carbon and Onshore Projects team, providing polite and professional assistance via phone, mail/e-mail, MS Teams, instant message, making reservations or travel arrangements, and generally being a helpful and positive presence in the team.


To be successful as an administrative assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication.


Main Function within Department:

  • Provide administration support to the Low Carbon and Onshore Projects team in order to facilitate the undertaking of:
  • business development including pre-qualifications and expressions of interest;
  • proposals including assembling, reviewing, and submitting proposal documents; and
  • projects including scheduling regular meetings, issuing minutes, formatting project deliverables, and assisting in the timely issue of documentation.
  • A member of the Low Carbon and Onshore Projects team the candidate shall also support the team activities such as team meetings.


Responsibilities and Duties:

  • Manage and coordinate the administration work in accordance with the business development, proposal, and project requirements.
  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Providing scheduling support by booking appointments, meeting rooms, refreshments / lunches and preventing conflicts. Help to manage diaries of Senior personnel.
  • Making travel arrangements, such as booking trains, flights, cars, and making hotel reservations.
  • Screening phone calls and routing callers to the appropriate party.
  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
  • Greet and assist visitors.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Format and proofread for quality of English documentation produced by team including CVs, proposals, and project documents.
  • Ensure quality through adherence to quality plans and Integrated Management System documentation.
  • Develop knowledge on document control tools employed by the business for projects, proposals, and departmental work in order to assist the document control department.
  • Team representative for office and facilities management.


Qualifications and Experience:

  • Higher education qualification or significant experience.
  • Prior administrative experience.
  • Excellent computer skills, especially typing.
  • Attention to detail.
  • Desire to be proactive and create a positive experience for others.
  • Fire warden or first aider – or be willing to undertake training in one of these areas.

We are actively recruiting across all of our UK offices (Aberdeen, Bristol, Edinburgh, Epsom, London) and are open to the successful candidate’s preferred location

We support flexible working arrangements and can discuss how we can accommodate individual requirements. This role can be considered on a part-time or full-time basis.

Travel to other company and client sites may occasionally be necessary as part of the role.

Successful candidates may be required to undergo a security vetting process in which case offers of employment will be subject to relevant security clearance being granted.
