About the job:

This position is for a full-time Facilities Manager to be based in our Woking office, full time to support ongoing growth within this office location.

We follow a hybrid working model that combines office and remote work, with a requirement to be in the Woking office four days a week. This approach supports the development of a strong and effective team dynamic within Engineering.

Skills & Responsibilities:

Operations and Maintenance (Hard Services)

  • Asset Management: Overseeing the maintenance and repair of essential systems like HVAC (heating, ventilation, and air conditioning), electrical, plumbing.
  • Preventative Maintenance: Implementing scheduled checks.
  • Inspections: Conducting regular walkthroughs to identify structural issues, wear and tear, or safety hazards.

People and Environment (Soft Services)

  • Security Management: Implementing access control, ensuring safe weekend and lone working policies.
  • Space Management: Planning office layouts, managing furniture, and coordinating office moves or relocations to optimize space usage.
  • Car Parking: Planning parking assignment across 3 sites and coordinating allocations or relocations to optimize cost savings.
  • Support Services: Managing daily cleaning provider and facilities third parties as required.
  • Resource Management: Co-ordinate between projects and group managers to optimize management of resources, utilisation and recruitment including the use of software to streamline where appropriate.

Compliance and Safety

  • Health & Safety: Co-ordinate with nominated HSE representative to ensure emergency response plans (e.g., fire drills), OSHA compliance, and first-aid standards are met.
  • Regulatory Compliance: Keeping all building regulatory requirements maintained and tracked.

Strategic and Financial Management

  • Budgeting: Creating and managing annual budgets for repairs, maintenance, and capital projects.
  • Sustainability: Designing energy-efficiency programs, reducing waste, and implementing "green" initiatives to lower environmental impact wherever possible.

Vendor Management: Negotiating contracts with external service providers and supervising their work to ensure it meets quality standards.

In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee's skills, capabilities, and role within the organization. The intent of this provision is to allow for flexibility and adaptability in meeting the dynamic needs of the organization, ensuring that operational requirements can be met efficiently. All such tasks will be assigned considering the employee's current workload and with respect to their professional development.

Your knowledge/skills, education, and experience:

  • Administrative qualification beneficial but not required.
  • First Aid certification beneficial but not required.
  • Previous experience in a similar office facilities position.

Communication:

Excellent command of the English language in both oral and written communication and skills.
