About the job:
To support our growing team, we are looking for a Project Document Control Assistant to support our busy Aberdeen office. This role will provide support across the project controls function while taking ownership of a creating and maintaining a document control function specific to the office. We are looking for someone who is an excellent communicator, shows attention to detail and thrives in a fast-paced environment as we have a high turnover of critical work scopes. Applicants should have demonstratable experience in a similar role and be enthusiastic to talk around their strengths and what they can bring to Kent.

Key Responsibilities:
  • Support the setup of the document management system & document controls process in conjunction with project teams
  • Ensuring proper version control and compliance of all project related documentation in line with company / project procedures to control receipt, storage and distribution of documents
  • Develop and foster relationship with colleagues to provide guidance on documentation and project control issues.
  • Ownership and development of Purchase Order workflows
  • Use of Dynamics 365 to create accurate records of new work opportunities, working with project team to gain necessary approvals ahead of CTR issue to our client
  • Taking ownership of set project controls tasks, delegated by the Project Engineer / Project Manager to provide support to multidiscipline projects
  • Support audits and quality assurance of work within the Project team, reporting findings to the Project Manager and Quality Assurance
  • Set up of new clients and suppliers within company financial systems
  • Contribute to process enhancements and continual improvement related to document management and project controls
Your knowledge/skills, education, and experience:
  • Enthusiastic and committed providing high quality support, working closely within a team of dedicated professionals.
  • Strive for continuous improvement in implementation, standards and quality
  • Previous demonstrable experience in a project / document control role(s)
  • Skilled in MS Office (especially Word and Excel), preferably with experience of document management systems and financial reporting systems
  • Attention to detail, accuracy, and consistency and a strong level of numerical ability
  • Excellent written and verbal communication skills
  • Ability to work collaboratively and engage with others at all levels of seniority
  • Able to manage multiple assignments and changing priorities, being flexible to requirements
  • Enthusiastic and self-motivated with a flexible and proactive approach to work
