Senior Payroll Specialist

About the job:

Reporting to the Senior Director, Finance, the Senior Payroll Specialist is responsible for working with ADP WFN on payroll processing, administering the Time and Attendance System, improving associated processes, and ensuring the financial integrity of payroll data with a focus on audit, compliance and support with collective agreements, Canadian payroll, and tax legislation.

Your responsibilities:

  • Audits, reconciles and ensures data integrity in ADP WFN.
  • Completes bi-weekly and weekly review audits in preparation for ADP payroll processing.
  • Generates and analyzes multiple reports used to balance and reconcile to ensure accuracy of input and adherence to controls, policies, and government regulations.
  • Reviews and verifies payroll data in a timely manner, calculates overtime and other pay premiums, and enters payroll data.
  • Prepares manual checks and out of cycle pay transactions as necessary.
  • Reconciles all payroll-related accounts and activities.
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Researches and corrects issues found during processing.
  • Provides information and answers employee questions about payroll related matters.
  • Stays up to date with US payroll industry changes.
  • Works closely with ADP in the processing of all payroll transactions for all employees including hires, transfers, status changes, termination final pays, leave pay-outs etc.
  • Works closely with HR to ensure accurate payments based on local and federal law and practices.
  • Ensures garnishments received are processed within the system according to the legislation.
  • Participates in continuous improvement projects for the department (e.g., policy and procedure related).
  • Other related duties as assigned.

Your knowledge/skills, education, and experience:

Qualification/ Certification:

  • Bachelors degree in Accounting, Business Administration, Human Resources, or related field required.
  • Minimum five years of related experience required.
  • Knowledge in multi-state payroll and benefits administration.
  • Proven exceptional customer service skills.
  • Highly organized with an ability to prioritize and multi-task in a fast-paced environment.
  • Detail oriented with advanced analytical/mathematical/research skills.
  • Ability to work independently and as part of a team.
  • Ability to maintain confidentiality.
  • Must be able to work under pressure.

Skills Requirement:

  • Establish and build positive relationships with executives / managers across Kent, ensuring commitment to business initiatives, and providing expert advice on payroll strategies and opportunities.
  • Work as part of a team with peers in Kent groups, seeking synergy and common understanding, process, and approach.
  • Champion and assist in the ongoing development of common payroll processes across the U.S. organization.
  • Proficiency in written documentation including Project Summaries, Business Cases, & Standard Operating Procedures (SOP)/User Guides.
  • Responsible for ensuring thorough analysis of business-related issues are completed so proper decisions can be made.
  • Proactively monitor, support, and maintain ADP WFN on day-to-day responsibilities.
  • Coordinates, supports, and troubleshoots scheduled payroll related issues.
  • Understand day-to-day operations to maintain the accuracy and integrity of payroll processing.


  • Must be an effective written and verbal communicator.

  • Proficient in Microsoft Office Suite, specifically super user in Excel.
