About the job:

Kent is looking for a Project Controls Assistant to support project controls, financial administration, cost tracking, invoicing, reporting, and project administration activities for commissioning, construction, and engineering projects. This position works closely with Project Managers, Project Controls personnel, Procurement, Finance, and other project stakeholders to ensure accurate project reporting and financial management throughout the project lifecycle.

Skills and Responsibilities:

Responsibilities:

• Support daily project controls and project administration activities across the project lifecycle.
• Maintain project controls reports, ERP system data, project logs, trackers, and documentation.
• Assist with cost tracking and monitoring project expenditures against approved budgets.
• Maintain invoice trackers, billing logs, commitment logs, and project cost reports.
• Support the preparation of monthly project review reports, dashboards, and presentations.
• Prepare client invoices in accordance with contractual requirements and project milestones.
• Reconcile labor charges and supporting documentation to support accurate billing.
• Coordinate invoice reviews with Project Managers, Cost Controllers, and Finance personnel.
• Track client payment status and maintain records of outstanding receivables.
• Participate in client invoice and payment review meetings.
• Support procurement activities by tracking purchase orders, commitments, vendor invoices, and expenditures.
• Assist with cost forecasting activities through the collection and validation of project financial data.
• Support month-end close and accrual processes by maintaining supporting documentation and identifying outstanding costs.
• Ensure project controls data integrity between ERP systems, project controls tools, and internal reporting systems.
• Maintain organized project records and documentation in accordance with company procedures.
• Interface with Engineering, Procurement, Finance, Construction, and Commissioning teams to support project execution.
• Provide timely and accurate project controls updates to project stakeholders.

In addition to the responsibilities listed herein, the employee may be required to perform other ad hoc tasks as needed or as directed by the supervisor or management. These tasks will be within the reasonable scope of the employee’s skills, capabilities, and role within the organization. This provision is intended to allow flexibility and adaptability in meeting the organization’s dynamic needs, ensuring operational requirements are met efficiently. We’ll assign tasks based on the employee’s current workload and their professional development.

Your Knowledge/Skills, Education, and Experience:

Knowledge / Qualification / Training / Certification:

• Associate degree, technical diploma, or equivalent combination of education and experience.
• 2-5 years of experience in project controls, project administration, accounting, finance, or related project support roles.
• Experience supporting engineering, construction, commissioning, or industrial projects preferred.
• Proficient in Microsoft Excel and Microsoft Office applications.
• Experience using ERP systems such as Oracle, SAP, or equivalent platforms.
• Basic understanding of project cost control, invoicing, forecasting, and financial reporting processes.
• Strong organizational and administrative skills.
• High attention to detail and accuracy.

Communication:

• Excellent command of the English language in both oral and written communication and skills.
• Ability to communicate effectively with project teams and stakeholders.
