About the job:

We are seeking to employ a PA/Office Manager as a key member of the management team in our new and rapidly expanding UK Engineering Services business that provides services in Hydrogen, Carbon Capture, Waste to Fuels as well as traditional energy projects to international clients. We are moving to new premises in Woking, Surrey shortly where the role will be based.

Your Responsibilities:

  • Providing support to the UK Engineering MD including diary management, email priority management, travel/ meeting booking, managing actions from key management meetings.
  • Provide overall administration and monitoring of the Engineering office in Woking, with support from the Project Controls and Business Services Director and Kent UK Facilities Manager when needed:
  • General office facilities management (e.g., office maintenance via 3rd Party, stationary and kitchen supplies)
  • Manage consolidated recruitment planning tracker for Engineering and liaise with HR
  • Co-ordinate onboarding of personnel and liaison with HR and IT, escalating to MD, Engineering Director or Project Controls Director when needed
  • Managing reception and meeting room, taxi bookings for clients and senior visitors
  • Duties essentially performed in main Woking office. You may occasionally be required to travel to other Kent offices in the UK (Aberdeen, Glasgow, Edinburgh, Bristol, London and Epsom) for strategic internal meetings to ensure connectivity and collaboration e.g., HR, IT, Administration etc.

Your knowledge/skills, education, and experience: 

  • Previous experience working as a PA for Director level personnel
  • Have experience working in either a client or services company in the Energy Industry (Oil & Gas, Energy Transition or New Energy) or similar that supports transferable skills
  • Ability to adapt, learn about the business on detail and address new situations
  • The ability to work in a fast-paced environment juggling different priorities
  • Flexibility and adaptability to changing workloads
  • A problem-solving approach to work
  • Proactive, responsive and dynamic mindset
  • Excellent verbal and written communication skills
  • Ability to multi-task and has excellent time management
  • Proficient in Outlook, Word, Teams, Excel and PowerPoint
